POSITION SUMMARY
The Front Desk Receptionist serves as the first point of contact for clients, prospects, and visitors to our insurance agency. This role is responsible for creating a positive first impression, providing exceptional customer service, and ensuring smooth daily office operations. The ideal candidate is organized, friendly, detail-oriented, and capable of handling a variety of administrative and customer service tasks in a fast-paced environment. We have a hard working, fun, friendly atmosphere. The right candidate must fit well with our team and the dynamic in our office. It is important to us to keep the culture we have worked hard to achieve.
Hours & Location
- Buursma Agency is located at 460 S Waverly, Holland MI
- This position is an in-office role
- Hours- 5-6 hours a day, Monday- Friday. We can be flexible on start and end times within our office hours of 8-5PM.
Key Responsibilities
- Client Service & Reception
- Greet clients, visitors, and vendors in a professional and welcoming manner.
- Answer incoming calls promptly, route calls to the appropriate team member, and take detailed messages when necessary.
- Assist walk-in customers by connecting them with the appropriate agent.
- Maintain a tidy and professional reception area.
- Administrative Support
- Schedule and confirm client appointments for agents and agency management.
- Process incoming and outgoing mail, email correspondence, and deliveries
- Prepare and maintain client files, both physical and electronic, ensuring accuracy and confidentiality.
- Assist with data entry in agency management systems, updating contact information, and logging communications.
- Support agents with filing policy documents, and client forms as requested.
Office Coordination
- Order and maintain office supplies and marketing materials.
- Coordinate meeting space and prepare materials for client meetings.
- Monitor and ensure office equipment (printers, copiers, phones) is functioning properly.
Qualifications & Skills
Required:
- High school diploma or equivalent.
- Prior experience in customer service, receptionist, or administrative role.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort learning agency software.
- Professional demeanor with a customer-first attitude.
Work Environment & Physical Requirements
- Office-based position with frequent client interaction.
- Ability to sit, stand, and work at a computer for extended periods.
- May occasionally need to lift or move office supplies up to 20 lbs.
